right patients, and proves it.
These Aren't Our Numbers. They're Our Clients'
How Dental Marketing Strategies Work in New York
The same plan doesn’t work in Buffalo and New York City.
The Census tops out Scarsdale’s income at $250,000. Buffalo’s median sits at about a fifth of that number. New York isn’t one market. So your marketing strategy shouldn’t be a cookie-cutter template, as it’ll burn money instead of making you money.
To create a profitable marketing plan, pick the practice you’re running:
-
One Location, One Dentist
Who you’re actually competing with:
Other dentists like you. New York’s DSO affiliation rate is 9%, well under the 16.1% national rate, so in most New York towns your real competitor isn’t a corporate office. It’s the independent practice down the block with a sharper website and more reviews.
The challenge
You have one schedule, so more leads isn’t the goal. You need patients who actually book and show up. A report that just counts form fills can’t tell the difference, so you keep paying for volume you have no chairs to see. And you’re running the practice and the marketing at the same time, so nobody’s checking whether last quarter’s spend actually worked. The move
Do what a fifty-office group structurally cannot. Put one named dentist on camera and keep that face consistent across every channel. A group rotates its providers. You don’t.You can do so through:
- Answering the questions your patients actually ask, on video, in your own voice
- Building a message tied to your practice and your town, not a franchise script
- Posting that content consistently across your website, Google Business Profile, and social channels
What should a solo practice actually spend on marketing?
-
One Location, Two or More Dentists
Who you’re actually competing with:
The same independents, plus offices built around whichever plan walks in the door. New York removed its strictest Medicaid dental barrier, the rule that denied root canals and crowns once a patient had eight remaining back teeth in contact, effective January 30, 2024. More adult patients now qualify for treatment your practice can bill for than could two years ago.
The challenge
Your marketing fills the practice. It doesn’t tell you which provider or which payer filled which chair. So one dentist’s book is packed while another has open slots, and the Medicaid change means your patient mix is shifting under you without a report that shows it.The move
Track new patients back to the provider who saw them, the procedure they booked, and the plan that paid for it. Once you can see that, you point spend at the column with room and the payer mix that’s actually growing, instead of averaging two or three practices into one number. You can do so through:
- Connecting your marketing to your practice management software, so every new patient traces to the provider and the treatment they booked
- Scoring inbound calls, so you can see which ones never converted and why
- Running campaigns by procedure and by payer mix, so growth in Medicaid-eligible treatment doesn’t get buried in a practice-wide average
-
Two or More Locations
Who you’re actually competing with:
Groups already operating at scale in New York, including Dental365, the Long Island-founded group that became the state’s largest dental provider in early 2024 running roughly fifty offices, concentrated downstate across New York City, Long Island, Westchester, Rockland, and Orange counties. New York’s 9% DSO affiliation rate is one of the lowest in the country, so upstate is still largely open.
The challenge
Your locations compete against each other in Google’s map results, and that often goes unnoticed. A different practice management system or a different front-desk script per office means you can’t put Buffalo and Rochester on the same number to compare them. So you’re spending across a group and reading it one office at a time. The move
Get every location onto the same two numbers, new patients and production, from the same source. Then do what a downstate-concentrated group structurally can’t: show up first in the upstate markets it hasn’t built out yet.- Putting every location on one dashboard, so new patients and production read the same way in Buffalo as they do in Albany
- Separating each location’s Google Business Profile and service pages, so your own offices stop competing for the same map results
- Sitting down with the numbers each quarter and moving budget to the locations with open chairs
Which location should get the next dollar?
Things You Should Ask Before Hiring a Dental Marketing Agency
-
Have you actually done this before for someone like me?
Probably. We’ve worked with over 4657 dental practices throughout the United States, from solo offices to multi-location groups. But push us on it. A win at a twelve-location group tells you nothing if you run one office with two dentists.
-
Can you actually track my ROI, or is it another report full of impressions?
Yes. We track what you spend and how much it adds to your practice growth, your new patient count, and your production. We connect to your practice management software, so you’re looking at real patients and real dollars instead of clicks.
-
How much does this cost?
Marketing plans start as low as $1,500 a month. But that’s like a patient asking what their treatment will cost before you’ve looked in their mouth. One needs a cleaning. One needs full-arch implants. You’d never quote those the same, and neither would we.
Your number depends on your competition, your practice goals, and your marketing budget. We’ll give you a real one once we’ve looked at your market.
-
How fast will I start seeing results?
Paid ads move the needle first, taking about 2-3 months to start generating results. SEO and AI visibility take about 6-12 months, because it’s more of a long game and anyone who gives you a date for organic results is guessing. On the call we’ll tell you which levers move fastest in your market and which ones take patience.
-
What happens after I sign? Do you disappear?
You get a strategist who knows your practice by name. Every quarter you go through your numbers together, they bring one specific thing to change, and budget moves toward whatever actually produced patients.
-
Does New York have rules about how I advertise?
Yes, and New York drew a line in 1979 that some dentists are still grandfathered into. The state bars any claim of professional superiority or special ability unless you’ve completed board-recognized specialty training, full stop. The phrase “practice limited to” gets the same treatment: it’s reserved for credentialed specialists, or for dentists who had already restricted their practice to one specialty before January 1, 1979. Beyond that, New York’s general advertising rule bars false, misleading, or unsubstantiated claims and service guarantees, and it allows patient testimonials only with the patient’s written authorization on file. We follow those rules in everything we write, and you see every campaign and every line of copy before it goes live. You know your board better than we do, so the final call is always yours.
-
Do you need an office in New York to work with practices here?
No. The groups with real New York offices, like Dental365 and Aspen Dental, still run their marketing from a shared platform, not a local storefront. What wins patients is knowing your market, not sharing your area code.
We're Not Trying to Be Your Next Agency
expensive marketing problem
When a patient is choosing a dentist, they’re not just Googling. They’re researching. Scanning your website, watching your videos, looking at your photos, reading your reviews, asking ChatGPT, and forming a gut opinion about whether your practice feels like the right fit. That entire judgment happens before they ever call you.
And if every touchpoint looks like it was pulled from the same dental marketing template—generic headshots, stock imagery, a homepage that could belong to any practice in any city—patients feel no reason to choose you over the dentist two blocks away.
- Patients visit your online platforms and leave without a reason to reach out
- Your marketing spend drives traffic that doesn’t convert
- Competitors win more patients because their presence feels more credible
We start by understanding your market, your ideal patients, and the gap between how you currently show up online and how you should. From there, we build the brand positioning and visual identity that makes your practice instantly recognizable and unmistakably different.
Every asset we create—your website, your videos, your photography—is strategically crafted to make patients feel, within seconds of finding you, that you’re the obvious choice in their market. We’ll also help you schedule and post it seamlessly across your platforms, keeping your practice visible and top-of-mind for potential patients.
- Custom Dental Website Design: Conversion-focused, built for both dental SEO and user experience
- Video Marketing: 6 months of content in 1.5 days; patient stories, doctor introductions, and practice walkthroughs that build trust before the first visit
- Professional Photography: Real team, real space, real reasons to choose you over the stock-photo practice down the street
Whether you’re a single-location dental practice or a growing DSO, your brand identity and digital footprint make your first impression, your credibility signal, and your competitive edge. We make sure it’s working hard in your favor.
your entire market already knows
There’s a reason some dental practices seem to be everywhere, and it’s not luck or a better product. It’s omnipresence. And it’s the single biggest differentiator between the dental practice patients can’t stop seeing and the one they’ve never heard of.
Here’s the reality of how patients choose a dentist today: they don’t make a decision the first time they see you. They Google “dentist near me,” scroll past your listing, see your ad on Instagram three days later, watch a short video you posted on YouTube, check your Google reviews, and then book—because you’ve shown up consistently enough to feel familiar and trustworthy.
That journey requires you to be present across every channel, every platform, every search surface your patients use. Most dental marketing services focus on one or two channels and call it a strategy. That’s not a strategy—that’s a gap your competitors are filling.
- Ranking on the first page of Google for the searches your ideal patients are making
- Showing up in Google’s local map pack when patients search for a dentist near them
- Showing up consistently on social media with content that builds familiarity and trust
- Getting cited by ChatGPT and Google AI Overviews when patients ask AI which dentist to choose
- Running targeted Google Ads and dental PPC campaigns that put you in front of high-intent patients
- Maintaining a reputation that makes choosing you feel like the obvious, risk-free decision
Our dental SEO services are built on 25+ years of exclusive dental industry experience—making WEO Marketly one of the most trusted dental SEO companies in the country. We optimize your website, content, and local presence for the search terms your patients are actually using, from everyday dental questions to high-intent local searches used by patients ready to schedule.
But ranking on Google is no longer enough. 60% of Google searches now end without a click. Patients are increasingly skipping search engines entirely and asking AI for recommendations instead. Our AI SEO—built on answer engine optimization (AEO)—makes sure your practice gets cited when patients ask ChatGPT or Google’s AI Overviews which dentist to choose. It’s a layer of digital marketing for dentists that most dental marketing agencies haven’t even begun to build. We have.
Our social media marketing for dentists keeps your practice visible and top-of-mind between appointments, with consistent, engaging content across different social media platforms to build the kind of familiarity that turns a stranger into a scheduled patient. Combined with targeted lead generation and dental PPC campaigns, we make sure your practice isn’t just found—it’s chosen.
And once patients find you, your reputation closes the deal. Our dental reputation management service actively builds and protects your patient reviews across Google and beyond, because in a market where patients are comparing 3–5 practices before booking, your star rating and review volume are part of your marketing strategy, whether you treat them that way or not.
- Dental SEO: local SEO for dentists, search engine optimization, keyword rankings, Google Business Profile
- AI SEO (Answer Engine Optimization): AI visibility, ChatGPT visibility, generative search, AI search presence
- Social Media Marketing: Organic content and social media ads built for patient engagement
- Lead Generation + PPC: Google Ads, dental PPC, dental advertising campaigns targeting high-intent patients
- Dental Reputation Management: Patient reviews, review generation, Google Business Profile optimization
Omnipresence is about being everywhere your patients already are, consistently enough that by the time they’re ready to choose, you’re not just an option. You’re the obvious one.
and why that's costing you, patients
Ask your current dental marketing agency this: “Which specific campaign drove my last 20 new patients—and how much revenue did they generate?”
If the answer isn’t immediately clear with actual patient data, you’re inside the dental marketing black box. It’s the single most common frustration we hear from growth-focused dental groups who’ve cycled through multiple agencies: plenty of activity, plenty of reports, zero clarity on what’s actually working.
Here’s why it happens: most dental marketing reporting tracks marketing metrics—clicks, cost per lead, form submissions. These numbers are easy to report but completely disconnected from the only metric that actually matters to a dental practice, patient revenue.
WEO Marketly’s ROI tracking system integrates directly with your Practice Management Software—connecting your marketing activity to your actual appointment and production data. For the first time, you see the complete picture, which campaigns drove new patients, what procedures they booked, how much production revenue each marketing channel generated, and exactly where your next marketing dollar should go.
Our call scoring service adds another critical layer. Every inbound call gets tracked and scored, so you know which campaigns are generating calls, how many are converting to booked appointments, and where patients are slipping through before they ever walk through your door. For most practices, this alone uncovers a patient acquisition gap they didn’t know existed.
- New patients acquired by the marketing channel and campaign
- Production revenue generated per channel
- Total ROI on marketing investment, updated in real time
- Call tracking, conversion rates, and appointment booking analysis
- Cost per new patient by source
- ROI Tracking (PMS Integrated): Full-funnel dental marketing performance tied directly to patient revenue, not vanity metrics
- Call Scoring: Call tracking for dental practices, inbound call analysis, appointment conversion insights
This is what separates a dental marketing agency from a dental marketing partner—a real answer to the question every dental practice owner deserves: “Is my marketing actually working?”
from a true growth partner
Most dental marketing relationships feel transactional. Campaigns go live, reports get sent, retainers get renewed, and nobody’s asking whether any of it is actually growing your practice. Month after month, the same activities run on autopilot while your growth plateaus and your budget quietly drains.
Once your Omni-Dentist Growth System is running, your dedicated strategist reviews your complete dental marketing performance dashboard every single month—patients acquired, production revenue generated, cost per new patient by channel, and ROI on total marketing investment. Every decision we make is driven by one question: what’s actually moving the needle for your practice?
If a dental SEO campaign is producing high-value patients, we scale it. If a paid dental advertising campaign isn’t converting at the level it should, we fix it or cut it, and reallocate your budget toward what is. Nothing runs on autopilot.
Most agencies only chase new patients. But the highest-ROI growth opportunity is often already sitting in your existing patient records—lapsed patients, missed recalls, and treatment plans that were started but never completed. Production revenue waiting to be reactivated.
Our dental patient reactivation service identifies these opportunities and re-engages them with targeted email and SMS campaigns—turning the patients you’ve already won into booked appointments. Because the cheapest patient to book is the one who’s already chosen you once.
Whether you’re expanding from one location to multiple, managing a multi-location dental group, or building toward a dental service organization, your marketing strategy needs to evolve with your practice. That requires a partner who knows your numbers, understands your market, and shows up every month with a proactive plan—not a reactive report.
- Full review of your ROI dashboard, new patients, revenue per channel, and cost per patient acquisition
- Identification of your single biggest growth constraint with a specific recommendation
- Ongoing optimization of dental SEO, dental PPC, social media marketing, and content strategy
- Patient reactivation campaigns that surface lapsed patients and unfinished treatment plans
- Proactive budget reallocation based on live performance data
- Long-term growth planning for multi-location dental practices and DSOs
WEO Marketly has served 4,175+ dental practices since 1999, maintaining an 89.1% client retention rate, because we deliver the kind of dental marketing results that make leaving pointless.
- Strategic Partnership: Dedicated dental marketing strategist, monthly performance reviews, and proactive growth planning for single-location practices, multi-location dental groups, and dental service organizations
- Patient Reactivation: Targeted email and SMS campaigns that re-engage lapsed patients, missed recall appointments, and unfinished treatment plans—turning your existing database into booked appointments
Growth is something that we build together—deliberately, accountably, every single month.
